REQUEST FOR PROPOSALS: CMMS SOFTWARE AND IMPLEMENTATION SERVICES

Notice is hereby given that Medford Water, by and through its Board of Water Commissioners, will receive electronic pdf proposals marked “CMMS Software and Implementation Services” until 2:00 p.m., Local Time, Tuesday, August 16, 2022, for the following:
Computerized Maintenance Management System Software and Implementation Services
Proposals received after the time established for receiving proposals will not be considered. Facsimile proposals are not acceptable. All proposals shall be submitted as set forth in the Request For Proposals (RFP), and must contain a signed Proposal Submission Form. Medford Water is not responsible for proposals submitted in any manner, format or to any delivery point other than as required by the RFP Document. NOTE: on Tuesday, June 28, 2022, RFP Documents will be available electronically for download at no charge at https://www.medfordwater.org. Follow the link on the homepage, under Doing Business, then RFPs marked “CMMS Software and Implementation Services”, then select ‘click here for plans’ under the Plans column. Contact Mark Depner, Purchasing Agent at mark.depner@medfordwater.org or (541) 774-2459 to register and obtain the login password. Proposers shall be responsible for all costs related to printing and reproduction of RFP documents. Proposers should check the website regularly until closing to avoid missing any Addenda, which will only be available online. RFP documents may be examined at Medford Water’s office: 200 S Ivy St Room 177, Medford OR  97501; printed RFP documents will not be mailed by Medford Water.
 
A voluntary pre-proposal conference for all firms interested in submitting a proposal will be held at 1:00 p.m. Pacific Time on Monday, July 18, 2022, through a Microsoft Teams meeting to provide additional information, answer questions about the required services, Medford Water expectations, and the evaluation process. Statements made by Medford Water’s representatives at the meeting are not binding upon Medford Water unless confirmed by written Addendum; any change to, or interpretation of, the RFP document by Medford Water shall be accomplished by written Addendum.
 
Proposers who obtain their RFP documents only from plan centers, or by means other than the Medford Water website, are responsible for ensuring they have all addenda; they will not be registered or appear on the list of plan holders and will not receive notifications from Medford Water regarding this RFP. The single point of contact for questions regarding the RFP, RFP process, clarification, award process, protests, or any other issues that arise, is Karim Naguib, GIS/EAM Administrator at karim.naguib@medfordwater.org. Each proposal must contain a statement as to whether the proposer is a resident, as defined in ORS 279A.120. Vendors will be selected to provide services based upon qualifications and proposal evaluation; Medford Water does not guarantee any amount of work as a result of this RFP.  Medford Water reserves the right to reject any or all proposals and to waive irregularities or informalities in a proposal or in the opening and may cancel the procurement in accordance with ORS 279B.100. Award of the contract will be subject to approval of the General Manager and the Board of Water Commissioners.
